Built by a phone company
Most scheduling software treats the phone as somebody else's problem. We came the other way: business phone systems, call queues and voice agents are what we set up and run every day.
So in Ellery the phone agent is not a visitor. It has its own identity, its own permissions, and its own line in the history of every visit it touches. And when something goes wrong, one company answers for the call and for the booking.
What it does on a call
- It asks who is calling. It takes a name and a date of birth and matches them to one patient record. If two records match, it does not guess.
- It finds an open time. By visit type, with one provider or with anyone, inside the office hours you set.
- It books, moves and cancels. Through the same booking checks as your front desk, with no overrides: it cannot double-book a provider or a patient. It moves or cancels a visit it booked. A visit your front desk booked stays with your front desk.
- It takes on a new patient. Name, date of birth and phone number, then the first visit.
- It says no when the answer is no. The office is closed then, the time has gone, the provider is out.
What your front desk sees
Every visit keeps its own history. A change made by phone reads as plainly as one made at the desk: the phone agent booked this visit, the phone agent moved it, and when.
The owner's overview counts what the agent did over the last 7, 30 or 90 days: visits booked, moved and cancelled.
Nothing the agent does is final. The front desk can move or cancel any visit it booked.
What it cannot do
The limits are built into what the agent is allowed to touch, not left to its manners.
- It does not see coverage, payments or anything clinical. Its reach ends at the calendar and a patient's name, date of birth and phone number.
- It works for one practice. Each practice's agent has its own credential, so it cannot reach another practice's calendar.
- Every booking, move and cancellation is recorded. So is a request made with a withdrawn credential or without the right permission, and any attempt to change a visit that is not the caller's.
Common questions
Does it replace our front desk?
No. It takes the calls your front desk cannot get to: the second line, the lunch hour, the evening. The front desk sees every visit it booked, moved or cancelled, and can change any of them.
How does it know our schedule?
It reads the same calendar your front desk books in: your providers' hours, your visit types and their lengths, your office hours and your closures. There is no second schedule to keep in step.
Can it book a patient we have never seen?
Yes. It takes the caller's name, date of birth and phone number, creates the patient record and books the first visit. The visit's history shows that the phone agent booked it. It does not take insurance details over the phone: your front desk adds those from the card.
How do we know what it did?
Open any visit and read its history, or open the overview for the count. Both name the phone agent in plain words.
